Position Summary:
We have an exciting opportunity to join our team as a Sr Project Assistant & Operations Support – Patient Access Center.
The Sr Project Assistant & Operations Support of the Patient Access Center is responsible for the overall day to day administrative needs of the Patient Access Center under Project Management. The individual will also assist in departmental projects for Operations Management. This position requires flexibility, impeccable attention to detail, organizational, communications, and problem-solving skills. Strong Outlook, Excel, and Word proficiency, as well as the ability to multitask, is important. This take-charge individual will also organize calendar, travel, meetings and business endeavors. This position requires polished communication skills, good judgment, business savvy and the ability to manage within a dynamic environment, with constantly evolving priorities. The ideal candidate has experience in a corporate environment and an understanding of how to navigate organizational processes and technology, such as ERP and CRM systems and intranets. A polished and professional demeanor and an ownership mentality, as well as a “can do” attitude is essential.
Job Responsibilities:
- Assist Project Manager with project plans and milestones for the Patient Access Center
- Track activities/timelines to ensure tasks related to the startup, space, operations, initiatives, training, staff onboarding, etc., are completed on schedule
- Assists in onboarding hew hires for Day 1 orientation
- I-9 Sterling Sign-Off to identify and verify new hires
- Assist in project plans and teamwork assignments
- Maintains trackers along with agendas for the PAC Project team
- Work closely with Project Management on a daily basis in identifying and organizing goals along with objectives that support various operational initiatives
- Assist with daily interviews for Access Center Representative candidates
- Arrange meetings and book conference rooms for the Operations department and Project Team working collaboratively with Work Force Management
- Independently maintains routine calendar, schedules appointments, assist in preparing for conferences (checking the logistics and technical support, ordering and setting up food, etc.) and other related duties. May assist with special events planning.
- Serve as backup to any administrative staff as needed
- Conduct Open Houses on weekends as needed
- Assist in monitoring the use of supplies and equipment
Minimum Qualifications:
- High School Diploma or equivalent, required.
- 1+ years in an administrative/assistant/coordinator role in an office setting
- Must be able to work between the hours of 8am-5pm
- Demonstrated organizational skills, attention to detail, and follow-up skills
- Exceptionally high standards of accountability, flexibility, and a “can-do” attitude
- Ability to manage multiple deadlines and demands while maintaining calm under pressure
- Highly developed collaboration skills
- Effective communicator, capable of ensuring that your message is received and understood
- Experience dealing with confidential information with discretion and professionalism
- Ability to learn new systems and software as needed
- Ability to prioritize tasks in a high-volume, multiple-task work environment with a high degree of interdependence
- Must demonstrate the ability to effectively partner with cross-functional departments to meet organizational objectives
- Must have strong verbal and written communication skills and the ability to present at the executive level
- Must be proficient in Microsoft Office Suites (Excel, PowerPoint, Word, Outlook, etc.) and tech savvy.
