Position Summary:

We have an exciting opportunity to join our team as a Grants Manager.

The Department of Population Health at NYU School of Medicine seeks a Grants Manager to oversee pre- and post-award grant and financial management for a large public health initiative that supports the City Health Dashboard (www.cityhealthdashboard.com) and Congressional District.
Health Dashboard (www.congressionaldistricthealthdashboard.org), collectively known as the Health Dashboard Initiatives (HDI). The Health Dashboard Initiatives are a suite of national interactive data websites that provide metrics on health and social drivers of health to policymakers at the city and congressional district levels.
Responsibilities will include closely monitoring all HDI finances, contracts, and invoices, working closely with HDI leadership. Specific responsibilities are listed below. The ideal candidate will have a post-secondary degree in business administration, finance administration, or public administration, or a similar field and at least five years experience in a related role.

Job Responsibilities:

Pre Award

  • Provide administrative support to Principal Investigators in the development of grant submissions Identify and help coordinate appropriate resources needed to address tasks to be performed or data to be gathered Work with assigned POD grant specialist on preparing the budget
  • Serve as a resource to the grant team in grant and contract budget development according to sponsor and institutional guidelines
  • Responsible for coordinating and gathering all just in time submissions
  • Assist with award setup including re budgeting gathering revised subcontract material reviewing notice of award with PI and Program Manager and providing salary allocation information to outside divisions/sections/departments
  • Responsible for maintaining faculty biosketches and Other Support documents according to sponsor guidelines

Post Award

  • Responsible for post award fiscal and administrative management of awards including progress reports to funding agencies; subcontractor monitoring; staff salary allocations and requests for carryover no cost extensions and reductions in effort  Ensure spending on awards is appropriate within budget and allowable per funding entity guidelines  Guide Principal Investigators through the prior approval process as needed and coordinate prior approvals through SPA office
  • Responsible for outbound/inbound subcontract communications and management follow up on invoicing request and review documents for RPPR submission liaise with Contracts to ensure timely subcontract execution provide documents to prime institution for RPPRs and request carry forward as required
  • Responsible for setting up vendor onboarding consulting agreements and contracts and processing/tracking vendor invoices department purchasing card payments and reimbursements
  • Prepare prior approval request  effort reduction  foreign component requests  change in scope carryover etc documents and coordinate submission to sponsor with SPA
  • Responsible for working with PI to prepare responses to sponsor inquiries
  • Attend finance meeting with PI to review financial status of accounts
  • Develop and maintain productive working relationships with SPA Research Finance and other corporate partners
  • Monitor budget on a monthly basis confirm accuracy and conduct variance analysis of actual vs budget
  • Work with HDI leadership team to monitor all program budgets and troubleshoot problems identified from reports Provide recommendations for strategic planning across project budgets; ensure coverage for faculty/staff and ensure adequate resources for non personnel expenses For example:
    • Work with Dashboard team project management to track invoice and departmental purchasing card submissions monitoring these expenditures impact on the budget and contracts to identify unspent resources or necessary reallocation
    • Work with Dashboard team project management to identify funds for project priorities
    • Work with Dashboard and Departmental leadership to ensure staff allocation and effort is properly managed and communicated to external grant teams
  • Working with the financial analyst prepare budget reports and financial updates for internal review and analysis
  • Initiate financial corrections to accounts in question by working with relevant NYULH departments and utilizing relevant tools to initiate account changes
  • Review all financial transactions to thresholds for each faculty research portfolio to ensure financial compliance and alignment with budget
  • Respond to requests from PIs related to all FSR and other financial reporting requirements
  • Provide ad hoc financial analysis for special projects
  • Exercise good judgement based on gathering and analyzing factual and objective data; interprets policies/procedures in order to make sound independent decisions
  • Other duties as assigned

Minimum Qualifications:
To qualify you must have a bachelor’s degree in business administration finance administration or public administration or a related field and five or more years experience in a related role. Demonstrated ability to work well in a large collaborative team setting. Strong interpersonal and communication skills. Ability to effectively interface with colleagues at all levels and with internal and external stakeholders. Time management skills and the ability to multitask and balance competing priorities.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $81,325.15 – $113,400.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.

Step 1

Apply Online

The NYU Langone hiring process begins with you applying through our online portal. Be sure to update and upload your resume. Shortly after you submit your application, you will receive an email confirmation. Ten days after applying you will receive a talent assessment to be completed.

Step 2

Schedule Interviews

If selected to continue the interview process, HR will reach out via phone or email first. Then, depending on your position, they will schedule an interview with unit managers or team members. You are encouraged to dress professionally for all interviews.

Step 3

Receive Offer

If you successfully complete the interview process and are identified as a finalist for the position, we will require that you complete a professional reference process. After evaluating the completed references, a decision will be made on who will receive a preliminary offer. If you receive a preliminary offer, HR will start the onboarding process with an agreed-upon tentative start date.

Step 4

Training & Orientation

You will be contacted by an onboarding specialist who will work with you on your pre-boarding requirements. Once fully cleared, we will ask you to complete compliance orientation regulatory training. On your first day, you will attend an online required orientation to acclimate to the health system and report to your new department based on instructions provided by your hiring manager.
