Position Summary:
We have an exciting opportunity to join our team as a Finance Project Manager.
This role will lead a team of Financial Analysts who manage the finances of a sponsored projects portfolio for assigned Divisions, Departments and/or Programs. Responsibilities include direct management and supervision of Sr. FAs and FAs; management of a sponsored projects portfolio including budgetary and financial oversight for the PI’s portfolio; communicate organized, accurate, and timely financial data to principal investigators, departmental and POD leadership, sponsors, and others.
They will implement and enforce policies and standard operating procedures to ensure compliance with institutional and sponsor rules, regulations, and generally accepted accounting procedures. Provide formal/informal training to departmental employees, investigators, and staff on internal and external systems, operations, and processes. Maintain a strong customer-service oriented environment.
The effectiveness of this position is tied directly to the incumbent’s knowledge of and ease with the varying requirements of each sponsor in award management, particularly professional expertise in the management of federal awards.
Job Responsibilities:
- Operations Management and Administrative Leadership
- Oversee the duties of a team of Financial Analysts (FA), including coaching, training, performance evaluation and change management.
- Provide leadership in the recruitment, training, assessment and retention of FAs.
- Work closely with the Director and Assistant Director of Research Administration and Departmental leadership to develop, organize, maintain, and manage needs for supporting the growing Research portfolio.
- Provide oversight of the financial management of all sponsored grants and contracts under their team in compliance with NYUGSOM’s policies, project deliverables, and sponsor’s regulations.
- Oversee the creation and utilization of reports to monitor all aspects of faculty portfolios.
- Work closely with the Research Finance Operations office to develop and maintain tools, processes, templates, and standard operating procedures (SOPs) designed to support the operations for effective portfolio management.
- Analyze financial data using workload and deliverable metrics to develop and implement strategies for performance improvement.
- Collaborate with the Pre-Award team on active awards and the transfer of grant applications for new investigators.
- Contribute to ongoing process improvement including the development of policies and procedures, educational and training programs.
- In collaboration with pre-award, provide faculty and leadership with portfolio summaries, status reports and metrics on proposal submission, new awards, budget reconciliation, allocations, holding accounts, PO, effort certification completion, closeouts, etc. for each division under the team.
- In alignment with RFO, implement policies and standard operating procedures to ensure compliance with sponsor rules and regulations.
- Review, communicate, and implement updates of the Uniform Guidance, policies, and other standard operating procedures.
- Provide guidance and training on the use of job aids, templates, and other tools to enhance efficiency in performing daily tasks, and to inform future financial planning and decision making.
- Participate in institutional initiatives related to process improvement.
- Partner with investigators to ensure that FAs are maintaining an optimal level service in managing their portfolio.
- Engage with investigators, division administrators, and center administrative directors to solicit feedback for optimal FA support.
- Engage with other research stakeholders such as Pre-Award, RFO, CRSU, and other institutional entities to support cross collaboration across the award lifecycle.
- Coordinate and facilitate training for new FAs in preparation for a smooth portfolio transition.
- Function as an expert for all aspects of grants portfolio management addressing queries/issues.
- Communication and Customer Service Management
- Develop professional relationships and partnerships with investigators, division administrators, HR, finance, and other departments.
- Respond to all communications in a timely fashion (i.e within 48 hours), understand and address their needs.
- Encourage teamwork and take a lead role in maintaining and improving overall collaboration.
- Provide guidance to departmental administrators, investigators, and research support staff on the financial and proposal systems, operations and processes.
- Communicate complex financial information and other issues with the Assistant Director of Research Administration.
- Participate in special projects and other improvement and change management initiatives.
General Research Administration and Special Projects
- Review investigator portfolios and participate in the development/coordination of long-range plans and funding strategies for activities of assigned PIs;
- Stay informed with federal (NIH in particular), state and other sponsor and agency requirements, policies and notify appropriate personnel of changes to policies and procedures;
- Prepares reports of application activity and customized reports as requested;
- Responds in a timely manner to faculty requests for information;
- Assists in maintaining sponsor and project files with up-to-date information regarding portfolio review, ADQs, awards, and policies;
- Assist and lead special projects, as assigned and needed;
- Liaise with internal administrative offices and external funding agencies regarding budget, financial, or administrative issues related to research post-award financial management;
- Assist with Time and Effort Reporting.

Minimum Qualifications:
To qualify you must have a Bachelor’s degree required as well as a minimum of 3 years of experience managing complex sponsored research portfolios on the post-award. Successful candidate must have a thorough understanding of policies and procedures to ensure that research practices are in accordance with institutional and sponsor guidelines. Demonstrated knowledge of the successful post-award financial management of sponsored projects. Candidate must have a proven ability to work in a fast-paced environment, meet deadlines for portfolio and ADQ reviews, and manage several projects simultaneously.
Preferred Qualifications:
Masters degree preferred. Ideal candidate would have extensive understanding of related federal and state rules, regulations, policies, and procedures as well as the ability to interpret those of other sponsoring agencies. In addition, preference is given to candidates with outstanding verbal and written communication skills and an extensive knowledge of business administration, including both budgetary and sponsored program management at an academic medical center.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $97,589.95 – $118,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.

Schedule Interviews

Receive Offer
