Position Summary:

We have an exciting opportunity to join our team as a Senior Grants Specialist. In this role, the successful candidate is responsible for providing senior level support for all research administration activities at the Perlmutter Cancer Center. Responsible for providing pre-award and scientific progress reporting administrative support to faculty, postdocs and students, including identifying funding sources, developing applications, and reviewing and processing grants applications. Tracks and reports on Perlmutter Cancer Center active, pending, and planned grant applications. Provides up-to-date information on sponsor policies and regulations and acts as the front-line person for faculty, postdocs, and fellows to come to for information on research administration systems and services at NYULH. Responsible for performing complex grant administration and fiscal management tasks relating to a wide range of research administration activities and to interact regularly with principal investigators/scientists, administrators from academic departments, and central research offices. Leads grant preparation and submission process, oversees and supports all aspects of the grants program, as well as conducting ongoing monitoring and evaluations. Works with finance to coordinate activities related to the grants as required. Provides organization and coordination support for research related retreats, meetings and working groups.

Job Responsibilities:

    1. Responsible for the coordination of all grant submissions for the Perlmutter Cancer Center and the Division of Hematology and Medical Oncology. Assists faculty, postdocs and students in the identification of funding opportunities. Prepares grant applications and supporting documentation to ensure compliance with funding requirements. Processing and review of grant proposals to include: development and review of new federal and foundation grant applications; development and review of federal and foundation continuation applications; tracking due dates (new applications and progress reports) and notifying investigators; tracking status of applications; building applications in internal and external grant submission systems; entering data for all proposals and maintenance of electronic databases pertaining to applications; developing budgets and ensuring they are in accordance with sponsor policies; completing all non-scientific portions of grant applications; liaising with the central Sponsored Programs Administration office; keeping up-to-date on federal policies and notifying supervisor and investigators of changes and recommending action when necessary; and preparing reports of activity.
    2. Develops and maintains updated file of materials such as biosketches, facilities/resources, equipment, and other support documents.
    3. Reviews and processes grant applications for financial and research compliance. Reviews applications for compliance with NYU, sponsor and governmental policies and assists the Principal Investigator and research team in attaining appropriate sponsor administrative approvals. Executes necessary changes during the period of performance, and coordinates scientific progress and final reports. Works with finance to ensure final financial reports are submitted. Engages with principal investigators as needed to ensure Human Subjects (IRB), Animal Subjects (IACUC), and rDNA (IBC) compliance. Maintains award data for Perlmutter Cancer Center records and maintains its accuracy in the internal grants database.
    4. Assists with complex, large, multi-investigator grants such as the Cancer Center Support Grant (CCSG), SPOREs, Training Grants and PPGs.
    5. Tracks status of proposals and provides additional information as required by funding source: facilitates the development and submission of scientific reports in accordance with grantor guidelines; develops and maintains contacts with local, State and federal funding agencies. 
    6. Reports on status of grant processing activities on a regular basis by: preparing summary reports of application submissions and outcomes; communicates the needs for new policies and procedures to supervisor in a timely manner; communicates reasons for delay in accomplishing a task to supervisor within a reasonable time; meets regularly to review pending proposals and actions to be taken.
    7. IACUC and IRB compliance approval information: Receives all compliance approval information from faculty, postdocs and students to ensure all necessary components are maintained; notifies faculty with pending approvals on grant applications of the need to submit protocols to appropriate institutional committee; and maintains records for grants ensuring compliance with applicable regulations and policies.
    8. Interfaces with senior management and program directors to expedite or facilitate internal processing of proposals. Tracks existing grants deadlines, monitors status of progress reports and seeks continuation of grant funding for current programs. Faculty assistance which consists of: for continuation applications, contacting investigators prior to competing deadlines to determine whether application will be submitted and if not, why and if a later deadline will be used; contacts investigators to ensure non-competing continuations and competing renewals are submitted on time; assists faculty,
      postdocs and students in preparation of budgets; provides policies and procedures, compliance information, and RFAs to
      faculty; responds in a timely manner to faculty requests for information.
    9. Training programs: provides hands-on training sessions for faculty, postdocs and students in developing proposals;
      assists in the development of evaluation criteria and the collection of data to measure grant program effectiveness;
      creates and distributes standards and special reports, studies, summaries and analyses as needed. Participates in the
      training of new grants specialists and Department Educational offerings to promote faculty, student, and administrative
      know how.
    10. Program planning and development: May provide advice and guidance to researchers and/or administrators with program planning and priorities in order to meet the requirements of awards.
    11. Performs miscellaneous job-related duties as assigned.
    12. Maintains a current awareness of types of funding mechanisms, and changes or new Federal regulations; maintains familiarity with trends, issues, and advances in grants administration through periodic review of relevant journals or other literature; consults websites of professional organizations (e.g. NCURA, SRA); readily accepts new responsibilities and assignments; and recognizes when help is needed by others and offers guidance and assistance.

Minimum Qualifications:

To qualify you must have a Bachelor’s degree; minimum of 2 years’ relevant experience in a research or an academic environment. Must include experience with scientific grants preparation. Position also requires knowledge and skills in the following areas: Knowledge of grant funding policies and procedures and applicable local, state, federal and School regulations. Ability to communicate effectively, both verbally and in writing. Knowledge of restricted fund accounting principles, procedures, and standards. Skill in the use of personal computers and software applications including database management skills. Knowledge of federal, state and/or community funding sources and mechanisms.Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections. Ability to provide technical advice and information to staff. Knowledge of current developments/trends in grant proposals.

Preferred Qualifications:

Masters Degree in applicable field (MBA, MPA, MPH, etc.) and/or a CRA (Certified Research Administrator) a plus. 5-7 years of broad pre-award grants administration experience in all aspects of proposal development and review preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $67,771.14 – $113,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. Receive Offer

Training & Orientation
