Position Summary:
We have an exciting opportunity to join our team as a Hospital Administrative Director-Surgical Specialties (Sunset Park, Brooklyn).

The Administrative Director, Surgical Specialties is responsible for the day-to-day operations of the Departments of Orthopedic Surgery, Urology and Otolaryngology. This includes maintenance of adequate resources, including staff; development and implementation of policies, procedures, and systems for smooth patient flow and management of the environment. Facilitates the administration process of clinical and departmental activities (e.g., facilitates the administrative process of recruiting and onboarding; maintaining records; monitoring and developing budget; coordinating seminars, training programs and other related activities). Works with internal and external parties to organize the various components needed to initiate, run and complete major projects. 
Reports to the AVP, Hospital Operations and Analytics and respective clinical chiefs of service.

Job Responsibilities:

  • CORE VALUES – Demonstrates knowledge of the organization’s mission and Core Values and incorporates them into the performance of duties.
  • COMPLIANCE AND POLICY DEVELOPMENT – Assures compliance with regulatory agency requirements related to the academic, clinical and research needs of the department. Researches changes in regulations and develops a plan for compliance and/or performance improvement. Develops a communication plan for new policies and procedures that impact the department which includes methodologies to facilitate compliance. Oversees the preparation of externally and internally mandated reports.
  • STAFF/FACULTY MANAGEMENT – Ensures that all staff are provided with orientation, ongoing education, and dissemination of policies and practical information. Supervise direct and indirect reports in their accomplishment of goals, tasks, and departmental initiatives. Works collaboratively with interdisciplinary leaders and related departments, e.g., perioperative services. Develops partnerships with the Faculty Group Practice (FGP) and School of Medicine (SOM) department administrators to optimize physician onboarding, scheduling and experience. 
  • DEVELOPMENT OF DEPARTMENTAL GOALS – Establishes goals, objectives and service standards for the Department. Guides and controls departmental activities to ensure the Department responds to the needs of the Hospital. Submits long and short term departmental goals to Leadership on, no less than, a yearly basis. Prepares written reports periodically regarding the status of or changes to department objectives/initiatives.
  • PROGRAM DEVELOPMENT (In conjunction with the Leadership) – Develops and coordinates new programs and oversees their management. Develops in-service sessions, proposes and implements new programs to generate additional revenue. Conducts and schedules regular meetings with key personnel to promote the most effective services. Determines the productivity of each program based on Physician, Researcher and Faculty needs, patient needs, staffing qualifications and/or organizational constraints. Uses analytics to create and maintain staffing models for inpatient, consult and OR support. 
  • FINANCIAL MANAGEMENT AND BUSINESS MODELING/PLANNING – Oversees the development of business plans for all new initiatives, including planning, market analysis, marketing and implementation. Partners with the chiefs of service to proactively identify future capital needs, justification through data, work with Sourcing and Value Analysis, and prepare the ask for executive approval. Develops strategies for cost containment and maximization of revenues, utilizing financial reports. Reviews monthly performance vs. budget for volume and expenses and prepares variance explanations and strategies for improvements. Provides administrative support to Senior Leadership on developing and monitoring workload and revenue indicators.
  • OPERATIONS – Provides administrative direction and oversight of policies and procedures for the Department. Resolves day-to-day operational issues and problems (e.g., staffing, interactions with other departments). Establish schedules, assignments and allocation of resources to ensure effective patient care and efficient clinic service. Reviews dashboards related to patient volume, efficiency, and patient experience to proactively identify trends and process improvement opportunities. Develops and implements policies and procedures related to patient scheduling and operational issues in collaboration with the clinical and administrative staff. Interfaces with other departments including IT, telecommunications, housekeeping, supply chain, and facilities to ensure optimal services for departmental activities.
  • STRATEGIC PLANNING (In Conjunction with the AVP) – Develops and implements strategic goals related to the management of the Department. Reviews reports regarding patient volumes, efficiency, resource utilization, and budget variances; and identify trends and patterns from analysis and recommends actions. Develops strategies to ensure optimization of funding and financial support for professional activities. Develops marketing strategies for the Department. Oversees the strategic development of space allocation and facilities planning for department. Develops and implements strategic plans targeted for growth.

Minimum Qualifications:
To qualify you must have a Masters degree in business administration, health care administration or related field and 5+ years’ related progressively responsible management and budget administration experience including experience planning and implementing administrative activities and supervising staff. Exceptional detail orientation and organization skills. Written and oral communication skills applicable to a wide variety of audiences. Experience with process improvement methodologies such as Lean and Six Sigma. Experience with managing frontline and supervisory staff. Experience with operational analytics. Proficiency in Microsoft Word, Excel, and PowerPoint.

Preferred Qualifications:
7-10+ years of relevant management experience. Familiarity with Tableau or other data visualization software and cost-accounting software. Proficient in budgeting/financial reporting software.

Schedule Interviews

If selected to continue the interview process, HR will reach out via phone or email first. Then, depending on your position, they will schedule an interview with unit managers or team members. You are encouraged to dress professionally for all interviews.

Receive Offer

If you successfully complete the interview process and are identified as a finalist for the position, we will require that you complete a professional reference process. After evaluating the completed references, a decision will be made on who will receive a preliminary offer. If you receive a preliminary offer, HR will start the onboarding process with an agreed-upon tentative start date.

Step 4

Training & Orientation

You will be contacted by an onboarding specialist who will work with you on your pre-boarding requirements. Once fully cleared, we will ask you to complete compliance orientation regulatory training. On your first day, you will attend an online required orientation to acclimate to the health system and report to your new department based on instructions provided by your hiring manager.
