Position Summary:
We have an exciting opportunity to join our team as a Grants Manager.

The Grants Manager (GM), in conjunction with the Division Administrator (DA), will lead all aspects of pre and post award processes in support of the Principal Investigator (PI) and their investigational team. The incumbent will actively engage in overseeing a large research portfolio comprised of NIH awards, industry sponsored clinical trials and private foundation grants. The GM will also oversee an equally significant philanthropic portfolio for donor directed research. They will ensure that portfolios remain financially viable and that projects are in compliance with all applicable institutional and federal regulatory policies. The GM will also directly supervise the Grant Specialist.

Job Responsibilities:

Pre-Award Responsibilities: The successful candidate will work with established and new investigators alike on developing strategies for successful grant and contract proposals. The GM will work in partnership with the DA and PI to: 

 – faithfully translate SPA and Departmental directives on all submission policies, deliverables and deadlines

 – guide PIs through the application process by directly helping to prepare submission materials such as: biosketches, other support pages, budgets and budget justifications to name a few components

 –  engage with internal and external stakeholders in timely gathering submission materials, and ensuring that documents finalized for inclusion meet all sponsor specifications

 – timely prepare subcontract packages by directly liaising with external collaborators and their organizations

 – initiate proposals in RNAV, upload application components, and lead all communication between Departmental and SPA reviewers

 – help with any necessary proposal revisions to craft a fully compliant submission before sponsor deadlines 

 – submit Just-in-Time packages by gathering and preparing all necessary pre-award materials from internal and external stakeholders for sponsor review 

Post-Award Responsibilities: In tandem with the DA, the GM will provide on-going grant management support by demonstrating a high level of proficiency with financial systems, including spreadsheet preparation and presentation. The GM will work in partnership with the DA to: 

 – generate portfolio status reports for routine meetings with the DA and PI

 – actively monitor expenditures and encumbrances against approved budgets across PI portfolio to safeguard against deficit spending

 – identify shortfalls or underspending and devise solutions for PI’s consideration to rectify the issue

 – perform routine effort allocation reviews on an assigned schedule to ensure effort is correctly allocated across projects and that MSS transactions are timely submitted within NIH’s timeframe to reconcile errors  – 

 – execute subcontract agreements and actively engage in subcontract invoicing review and payment approval 

 – lead formal No-Cost-Extension requests, annual RPPRs, and award closeouts 

Additional Position Specific Responsibilities:

Minimum Qualifications:
To qualify you must have a Bachelors degree in Business, Health Administration or related field, with a minimum of 3 years of progressive leadership experience in an academic medical center or in government or other significant health-related non-profit or the equivalent in combination of education and experience. Working knowledge of SF424 Guidelines and NIH Grant Policy Statement is a must. Demonstrated knowledge of grant submission processes including preparing, completing, and collecting required paperwork and necessary signatures for federal and non-federal grant applications. The successful candidate must also have a thorough understanding of policies and procedures to ensure that research practices are in accordance with regulatory requirements and ethical standards. Excellent oral and written communication and presentation skills are essential to interact effectively with diverse internal and external professional groups and sponsors. Candidate must have a proven ability to work in a fast-paced environment, meet deadlines for grant submissions, and manage several projects simultaneously.

Preferred Qualifications:
Prior supervisory experience is desired.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $81,325.15 – $120,393.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.

Step 1

Step 2

Schedule Interviews

If selected to continue the interview process, HR will reach out via phone or email first. Then, depending on your position, they will schedule an interview with unit managers or team members. You are encouraged to dress professionally for all interviews.

Step 3

Receive Offer

If you successfully complete the interview process and are identified as a finalist for the position, we will require that you complete a professional reference process. After evaluating the completed references, a decision will be made on who will receive a preliminary offer. If you receive a preliminary offer, HR will start the onboarding process with an agreed-upon tentative start date.

Step 4

Training & Orientation

You will be contacted by an onboarding specialist who will work with you on your pre-boarding requirements. Once fully cleared, we will ask you to complete compliance orientation regulatory training. On your first day, you will attend an online required orientation to acclimate to the health system and report to your new department based on instructions provided by your hiring manager.
