Position Summary:
We have an exciting opportunity to join our team as a Specialist, QI/Systems – Central Sterile Service – CRCST/CBSPD – Ambulatory Surgery Center Manhasset.

In this role, the successful candidate maintains the current Surgical Instrument Management and Tracking System (SIM) item master file and database, updates instrument tray changes, and evaluates possible opportunities for tray standardization. Trains users on the system to ensure data integrity and desired outcomes. Completes all quality assurance testing of decontamination and sterilization equipment and maintains all appropriate logs to ensure continuous compliance with regulatory agencies and the Association for the Advancement of Medical Instrumentation (AAMI) standards. Assists in creating departmental efficiencies in production to maximize customer satisfaction.

Job Responsibilities:

  • Serves as the system administrator and subject matter expert for the Surgical Instrument Management (SIM) and Instrument Tracking System, maintaining the item master file, database integrity, and all associated system documentation. Collaborates with surgeons and Operating Room Nurse Managers to create, revise, standardize, or discontinue Instrument Asset Management Sheets (IAMS) and instrument trays as needed. Ensures all tray configurations, additions, deletions, modifications, and discontinuations are accurately reflected in the SIM database and supporting documentation. 

  • Evaluates opportunities for instrument tray standardization and workflow optimization across the organization. Determines whether newly configured trays are replacements or additions, reviews proposed changes with clinical stakeholders prior to implementation, and ensures manufacturer Instructions for Use (IFU) and approved sterilization modalities are accurately documented and maintained. 

  • Establishes and manages repair, refurbishment, replacement, and capital planning cycles for surgical instrumentation to ensure all instruments remain sharp, functional, compliant, and readily available for patient care. Prepares requisitions and purchase orders for instrument repairs, replacements, and capital equipment while maintaining complete and current documentation. 

  • Maintains comprehensive records and documentation for preventive maintenance, repairs, inspections, service contracts, and regulatory testing associated with sterilization equipment, decontamination equipment, and the Reverse Osmosis (RO)/Deionized Water System. Ensures required equipment monitoring, maintenance schedules, and compliance activities are completed in accordance with Infection Prevention, AAMI, regulatory, accreditation, and organizational standards. 

  • Performs quality assurance testing and monitoring activities for decontamination and sterilization processes and maintains all required logs, reports, and documentation to support regulatory compliance and operational readiness. 

  • Utilizes SIM data and system analytics to monitor employee productivity, quality, and accuracy metrics. Develops and distributes reports for leadership, identifies performance trends, and supports staff education and training initiatives to enhance system utilization, accountability, and operational performance. 

  • Develops, implements, and monitors departmental quality improvement and performance improvement initiatives. Promotes continuous staff engagement, identifies opportunities to improve workflow, production efficiency, and customer satisfaction, and implements sustainable process improvements that enhance productivity and service delivery. 

  • Provides operational and technical guidance to end users of the SIM system, ensuring data integrity, compliance with established processes, and achievement of departmental objectives. 

  • Performs other duties and responsibilities as assigned in support of departmental, regulatory, and organizational goals. 

  • Independently determines appropriate container size for instrument containers, assess needs for custom made instrument carriers, weigh and assemble instrument sets according to AAMI standards.

  • Act as liaison between Surgical Services and the Sterile Processing Department, communicating clear messages between Surgical Services and SPD to prioritize needs and complete instrumentation projects.

  • Assists leadership team with oversight of front-line staff as needed

  • Works with the OR team leaders with instrumentation projects, building instrument trays if needed for coverage, documenting manufacturer recommendations, and getting new trays into circulation.

  • Identifies and suggests cost saving approaches to purchasing of inventory.

  • Sources substitute instrumentation for back order or discontinued items.

Minimum Qualifications:
To qualify you must have a Bachelor’s Degree or equivalent years of experience. Certified and Registered Central Service Technician (CRCST) or Certification from the Certification for Sterile Processing and Distribution (CBSPD) (Hired on or after 08/01/14). 3- 5 years In a Central Sterile Service, Surgical Processing,Healthcare or Medical related role. 1- 2 years Inventory control, Par level management, or Quality Improvement role. Advanced knowledge of aseptic techniques and procedures, sterilization techniques and procedures, instrumentation utilization, infection control and work flow principles and requirements, equipment and supply processing. Excellent communication (both oral and written), interpersonal, and organizational skills. Ability to work independently, interact with, and maintain functional relationships with personnel at all levels within and outside of the organization.

Preferred Qualifications:
1- 2 years Supervisory experience in a hospital setting.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,300.00 – $94,382.40 Annually. Receive Offer

If you receive a preliminary offer, HR will start the onboarding process with an agreed-upon tentative start date.

Step 4

Training & Orientation

You will be contacted by an onboarding specialist who will work with you on your pre-boarding requirements. Once fully cleared, we will ask you to complete compliance orientation regulatory training. On your first day, you will attend an online required orientation to acclimate to the health system and report to your new department based on instructions provided by your hiring manager.
